Our Company:

The American Thoracic Society (ATS) improves global health by advancing research, patient care, and public health in pulmonary disease, critical illness, and sleep disorders. Founded in 1905 to combat TB (Tuberculosis), the ATS has grown to tackle asthma, COPD (Chronic Obstructive Pulmonary Disease), lung cancer, sepsis, acute respiratory distress, and sleep apnea, among other diseases.

The Position:

Reporting directly into the Director of Housing & Registration , the Senior Manager of Meeting Services, performs managerial functions related to the logistical aspects of the International Conference headquarter hotel, special events and select services. The Senior Manager is the primary liaison between the ATS and Hotel for the International Conference year-round. The Senior Manager also plans meetings and events outside of the International Conference.

Position Responsibilities:

  • Collect meeting specifications from several key departments.
  • Oversee floor plan requests and updates from hotel stakeholders.
  • Partner with headquarter hotels to manage and implement all details, some of which include food & beverage, room assignments, and menu planning.
  • Authorize audio visual needs with staff, communicate needs to hotel/AV vendor and work within ATS budget.
  • Identify conference directional signage placement for all headquarter hotels and submit requests to vendor for production.
  • Support Director throughout the year on all registration and housing aspects.
  • Create and distribute comprehensive request for proposal and work with National Sales Contacts to secure preferred properties.
  • Negotiate contract terms for rooms and meeting space.
  • Create resumes and lead meetings.
  • Other responsibilities within the event/meeting space.

Position Qualifications :

  • Bachelor’s Degree (in related field preferred).
  • 5 years meeting planning experience with a minimum of 2 years “city-wide” management.
  • Ability to manage several projects at once and work well under pressure.
  • Familiarity with contracts; negotiation experience required.
  • Must be able to manage meetings and events independently.
  • Strong written and oral communication and organizational skills.
  • Microsoft Excel knowledge and management.
  • Willingness to travel to 3 quarterly site meetings (~3 days each), Board of Directors, Committee Meetings and ATS Leadership Summit (~10-15 days) and the International Conference (~10 days).

Physical requirements:

  • Please note that this is a hybrid position that will require you to come into our New York Office on Tuesday, Wednesday, and Thursday each week.
  • Some travel may be required, such as to our annual International Conference.
  • You may experience prolonged periods of sitting and/or standing.
  • You may experience repeated typing motions involving your wrists, hands, and/or fingers.
  • You may need to lift or carry up to 15 pounds of work equipment.

Pay Range: We are pleased to offer a range of $85-90k for this position.
