Description:

The Dispatcher is responsible for efficiently coordinating the daily delivery and pickup of building materials to and from jobsites, ensuring on-time delivery, optimal truck utilization, and outstanding customer service. This role serves as the communication hub between drivers, yard personnel, sales teams, and customers, and is critical in ensuring accuracy, safety, and timeliness of all dispatch activities.

Requirements:

Dispatch & Scheduling

  • Create and manage daily delivery schedules based on order volume, truck capacity, and delivery windows.

  • Assign deliveries to company drivers and third-party haulers, ensuring optimal routing and load balancing.

  • Monitor delivery status throughout the day; proactively resolve issues such as delays, re-routes, or equipment breakdowns.

  • Adjust schedules in real time based on urgent customer needs, weather conditions, or logistical constraints.

Communication & Customer Service

  • Serve as the main point of contact for drivers, yard staff, sales teams, and customers regarding delivery status and logistics.

  • Communicate delays or changes in delivery schedule to customers and sales representatives.

  • Confirm delivery appointments and jobsite requirements in advance to ensure smooth execution.

Systems & Documentation

  • Accurately enter delivery tickets, driver assignments, and load confirmations into dispatch or ERP systems (e.g., Epicor, BisTrack, DMSi, etc.).

  • Track proof of delivery, driver hours, equipment logs, and fuel usage.

  • Maintain digital and physical records in compliance with DOT, OSHA, and company policies.

Compliance & Safety

  • Ensure all drivers are compliant with DOT regulations, including hours-of-service and vehicle inspections.

  • Coordinate with the safety and fleet manager to ensure equipment is maintained and road-ready.

  • Report incidents or safety concerns promptly and maintain incident logs.

Team Collaboration

  • Work closely with sales teams to prioritize deliveries based on project timelines and customer expectations.

  • Collaborate with yard managers to ensure loads are staged and ready prior to scheduled departure.

  • Participate in logistics meetings to review delivery performance and suggest improvements.

Qualifications

Required:

  • High school diploma or equivalent.

  • 2+ years of experience in dispatching, preferably in the building materials, construction, or transportation industries.

  • Strong knowledge of local geography, traffic patterns, and routing logistics.

  • Proficient in dispatch software, GPS systems, and Microsoft Office Suite.

  • Ability to remain calm and organized in a fast-paced environment.

  • Excellent communication and problem-solving skills.

Preferred:

  • Experience working with ERP systems (e.g., Epicor, DMSi, NetSuite, etc.).

  • Familiarity with DOT regulations and fleet compliance requirements.

Working Conditions

  • Office-based role within a yard/warehouse environment; frequent interaction with yard and delivery teams.

  • Fast-paced, time-sensitive tasks with multiple interruptions.

  • Occasional need to inspect loads or delivery vehicles in outdoor conditions.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.

  • Occasional walking or standing in yard or warehouse areas.

  • Ability to lift up to 25 lbs as needed for documentation or small package handling.
