About the Role

We are seeking a highly organized and detail-oriented IT Project Portfolio Coordinator to support our IT PMO and broader IT leadership team. This role is the backbone of our project operations—helping to maintain accurate portfolio data, facilitate reporting, and keep day-to-day processes moving smoothly. You’ll work closely with teams across Applications, Infrastructure, and Security, while also playing a key role in supporting our ERP implementation and vendor management activities.

This is a collaborative and fast-paced environment where priorities shift quickly, and small requests come in daily. The ideal candidate is highly responsive, adaptable, and eager to grow in IT project/portfolio management.

Location: Atlanta, GA (Hybrid) 3 days in office, 2 days remote

Salary: 60-75K/yr

Day-to-Day Responsibilities

  • Support the daily operations of the IT project portfolio, including data entry, updates, and cross-team coordination.
  • Maintain and update Smartsheet and other portfolio tools to ensure accuracy of timelines, project metadata, and reporting.
  • Assist with project intake and prioritization processes, including scheduling, documentation, and scoring activities.
  • Prepare and distribute recurring dashboards and reports to IT leadership, ensuring visibility into portfolio health.
  • Coordinate IT governance meetings and portfolio reviews, including agenda management, materials preparation, and action tracking.
  • Partner with Finance to support project capitalization efforts, including time-tracking validation and CapEx/OpEx alignment.
  • Collaborate with Project Managers to standardize documentation, validate project data, and maintain reporting accuracy.
  • Maintain and improve PMO templates, portfolio documentation standards, and workflow processes.
  • Track and support vendor management activities such as SOWs, renewals, contracts, and onboarding.
  • Help communicate portfolio updates, governance changes, and tool enhancements to stakeholders.
  • Assist with closing projects, extending timelines when necessary, and ensuring smooth transitions.

Must-Haves

  • Bachelor’s degree in Business, Information Technology, or related field (preferred).
  • 2–4 years of experience supporting IT project, program, or portfolio management.
  • Experience with portfolio management tools such as Smartsheet, Azure DevOps (ADO), or Salesforce .
  • Knowledge of project management methodologies (Agile and Waterfall).
  • Proficiency with Microsoft Excel, PowerPoint, and Outlook .
  • Ability to thrive in a fast-paced, highly collaborative environment with shifting priorities
